Setting Up Email on Your Mobile Device
Your company email account works out of the box with the built-in Mail app on both iOS and Android — no extra apps required, though you’re welcome to use the Outlook app instead if you prefer.
iPhone (built-in Mail app)
Section titled “iPhone (built-in Mail app)”- Open Settings → Mail → Accounts → Add Account.
- Choose Microsoft Exchange.
- Enter your full company email address and tap Next.
- Tap Sign In when prompted, then enter your password.
- Approve the MFA prompt on your phone.
- Make sure Mail, Contacts, and Calendars are all toggled on, then tap Save.
Android (built-in Gmail app)
Section titled “Android (built-in Gmail app)”- Open the Gmail app and tap your profile picture → Add another account.
- Choose Microsoft Exchange and Office 365.
- Enter your full company email address and tap Next.
- Sign in with your password and approve the MFA prompt.
- Confirm the sync settings (Mail, Contacts, Calendar all on) and tap Done.
Using the Outlook app instead
Section titled “Using the Outlook app instead”If your team standardises on the Outlook mobile app rather than the built-in Mail app, the steps are similar — install Outlook from the App Store or Play Store, tap Add Account, and sign in with your company email and password. MFA approval works the same way.
Common issues
Section titled “Common issues”- No prompt for MFA — make sure you have a network connection and try closing and reopening the Mail/Gmail app.
- “Cannot verify server identity” — this usually resolves itself within a few minutes; if it persists, delete the account and re-add it.
- Email arrives late — check your phone’s battery-saver or data-saver settings aren’t restricting background app refresh for Mail/Gmail.
