Printer Setup and Common Printing Problems

Office printers are usually shared over the network, so most laptops just need to be pointed at the right one rather than having anything physically connected.

  1. Open Settings → Bluetooth & devices → Printers & scanners (Windows) or System Settings → Printers & Scanners (Mac).
  2. Click Add device / Add printer and wait a moment for nearby network printers to appear.
  3. Select the correct printer for your office or floor — ask a colleague or support if you’re not sure which name matches which physical printer.
  4. Click Add. Windows or Mac will install the right driver automatically in most cases.

If you regularly use one printer, set it as default so you don’t have to pick it every time: Settings → Printers & scanners, select the printer, and choose Set as default.

Nothing happens when you print Check the printer’s own screen for an error first (out of paper, a jam, low toner) — most “my document didn’t print” issues are the printer, not your laptop.

Print job stuck in the queue Open the printer queue (search “Printers & scanners,” click the printer, then Open print queue), and cancel the stuck job before trying again. A single stuck job can block everything queued behind it.

Printed but looks wrong (cut off, wrong size, garbled) Usually a driver mismatch after a printer’s been replaced or updated — removing the printer and re-adding it (steps above) resolves this most of the time.

Can see the printer but get an error trying to print This is sometimes a permissions issue rather than a technical fault — contact support with the exact error message shown.

Contact support with the printer’s name/location and the exact error (if any) — that’s usually enough to resolve it without needing to see your screen directly.
