Setting Up Microsoft Teams and Outlook for the First Time

Teams and Outlook are usually already installed on a company laptop, but if you’re starting fresh — a new laptop, or using them on a personal computer for the first time — here’s how to get set up properly.

  1. Go to office.com and sign in with your company email and password.
  2. Click Install apps (top right) and choose Microsoft 365 apps.
  3. Run the installer once it downloads, and open Outlook.
  4. Outlook should sign you in automatically using the same account — if it asks again, use your usual company email and password.

  2. Run the installer and sign in with your company account when prompted.
  • Notifications (Teams → Settings → Notifications) — the defaults notify you for almost everything, which gets noisy fast. Worth tuning down to just mentions and direct messages if that suits you better.
  • Calendar sync — open Outlook’s calendar view and confirm your meetings are showing; if it looks empty, give it a few minutes to finish syncing after first sign-in.
  • Your profile photo — adding one in Teams (click your initials, top right → your photo) makes it much easier for colleagues to recognise you in meetings and chats.

Teams or Outlook won’t sign in Double-check you’re using your full company email address, not just a short username. If it still fails, contact support rather than retrying repeatedly.

Missing shared calendars or mailboxes These are usually added individually, and access needs to be granted by whoever owns them — contact support to have them added.

Old messages or emails missing after setup Give it time — this can take a while to fully sync the first time, particularly with a large mailbox. If it’s still incomplete after several hours, contact support.
